Convert Visio® to PDF

This tutorial shows how to convert a Visio diagram to a PDF file using a virtual PDF printer driver such as novaPDF. Once installed, novaPDF lets you create PDF files from any Windows application that supports printing, thus to convert your Visio diagram to a PDF you need to download and install novaPDF first.

Once novaPDF is installed you can convert your diagrams into PDF files by simply choosing novaPDF as a printer and clicking the Print button. Having your Visio diagrams in PDF format is an advantage if you want to send it to other users (the users receiving it do not need in this case Visio installed) or to print it.

Convert Visio diagrams to PDF documents (vsd/vdx to pdf)

novaPDF is installed as a virtual PDF printer so you can create PDF files from Visio simply by printing to it instead of your normal printer. Converting a Visio diagram to a PDF is basically done in the same manner if you create it from Visio 2007 or previous versions, since Microsoft Visio 2007 doesn't have the ribbon interface implemented yet as the other office applications from this package do.

To convert a Microsoft® Visio 2007 diagram to a PDF:

  1. In Microsoft Office Visio 2007 go to File->Open, browse for the diagram you want converted to PDF and click Open
  2. In the opened document go to File->Print and select novaPDF from the Printer section
  3. Before creating the PDF file you can adjust novaPDF’s settings by using the Properties button (for instance adding document information, using auto-save options, embedding fonts, adjusting page size and resolution)
  4. Click OK and choose a location where you want the PDF file saved. After the PDF is created it will be automatically opened in the default PDF viewer
Excel 2007 to PDF

To convert your Microsoft Visio (2003, XP) diagram to a PDF:

  1. In Microsoft Office Visio go to File->Open, browse for the diagram you want converted to PDF and click Open
  2. Go to File->Print and from the Printer section select novaPDF
  3. Before creating the PDF file you can adjust novaPDF’s settings by using the Properties button (for instance adding document information, using auto-save options, embedding fonts, adjusting page size and resolution)
  4. Click on OK and choose a location where you want the PDF file saved. After the PDF is created it will be automatically opened in the default PDF viewer (this action is set by default but it can be configured too using novaPDF’s Properties window)

novaPDF includes a PDF merging (combining) option, so if you want to add new Visio diagram in an existing PDF you can use novaPDF's own merge option. This will let you print a Visio diagram to PDF and after that print other diagrams to the same pdf (before, after or as background/foreground for the existing PDF). Even better, you can merge content with an existing PDF from other programs too (so for instance if you want to print to the same PDF a Visio diagram, an Excel worksheet, a PowerPoint presentation and a Publisher file, you can use novaPDF's merge/combine/overlay option to do so).
